Checklist 5: Basic Formatting

 
1.

Did you double-space your entire paper (except for block quotes and the block of information in the top-left corner of your paper)?  

If not, take the following steps.

  • Click and drag your mouse to select the text you want to double-space.
  • On the toolbar, click on the icon for Line Spacing. Choose 2.
  • DO NOT press Enter at the end of each line of your text. This will only complicate the editing process.
2. Did you single-space your block quote and the block of information information in the top-left corner of your paper?

Did you use the same, standard, 12 pt. font throughout your paper?

If not, take these steps:

  • From the menu, click Edit, Select All.
  • On the toolbar, find the box for Font, then choose Arial or Calibri.
  • On the toolbar, find the box for Font Size, then choose 12.
  • Now select your header and make sure that your header is in that same, 12 pt. font.
  • If you paste text into your paper, you may have to do these steps again.
  • When you paste text into your paper, try right-clicking on the selected text and choose Clear Formatting. This step may save you the trouble of reformatting the pasted text.

Did you set your margins to one inch on all sides?

If not, take these steps:

  • Click on File, Page Setup, Margins. Now make sure your margins are set at 1 inch (Top, Bottom, Left, Right).

Did you justify your margins? In other words, does your text appear with an even left margin and also an even right margin?

This is a mistake! Your text should have an even left margin but a ragged right margin.

Take these steps to fix it:

  • On the toolbar, you have several icons showing the different alignment options (Left Align, Center, Right Align, and Justify). DO NOT use Justify. Use Center if you are centering the title or Works Cited heading. Use Right Align to place your header near the right margin. Everything else should be Left Align.

Did you indent the first line of each of your paragraphs by one-half inch?

If not, take these steps.

  • Use the tab key to indent the first line of each paragraph. On the ruler bar, verify that the first line has been indented .5 inch.

Did you use the space bar to indent the first line of each paragraph?

This is a mistake! All too often, tapping the space bar five or six times results in inconsistent spacing. Use the tab key instead.
